What is this project?
During Easter Half Term, IT will be making some important changes to how we use Microsoft 365. Right now, Admiral and Trafalgar have their own separate Microsoft accounts, but we’ll be merging them into one shared system for Salterns Academy Trust. This new system will mean everyone will have a new email address ending in @salterns.org Example: ALNS STAFF jbond.alns@salterns.org TRAFALGAR STAFF jbond.trafalgar@salterns.org TRUST STAFF jbond@salterns.org This will allow better collaboration across our schools, to unify our backend systems and improve managing systems across the Trust. Why are we doing this? Simplifies email management for staff Cross-school: file sharing calendar sharing Microsoft Teams use Reduces the number of email addresses required (If you work at more than one school) Simplifies the movement of staff between schools within the trust Ability to log in at Admiral and Trafalgar using the same user account One single email (@salterns.org) used across Admiral and Trafalgar (Mayfield will join during the Summer Holidays) Timeline: When will the migration happen? WC 3rd March The data migration will take place automatically in the background, and no action is required from you. Business will continue as usual. (Dates below) Easter Half Term The bulk of the migration will take place during Easter Half Term, with no access to emails, remote systems, or the network (Dates below) What will this mean for me? You’ll be getting a new email address soon (@salterns.org) But don’t worry— your email inbox will be automatically transferred to your new address, and any messages sent to your old account will be forwarded to your new one. Any files you have in OneDrive, Teams or SharePoint will automatically move to your new account. If you currently use OneDrive and have any links within your documents, they will need to be re-linked after Easter Half Term. What won't transfer? When is access not available (Emails/Network & Remote Access)?
During the half-term, there will be scheduled downtime where you will not be able to access your emails, OneDrive, Remote Access, or the network. This downtime is necessary to complete the migration. Access will be restored by the start of summer term (22nd April) - New login details will be provided during staff circles.

What happens to my @alnsconnected.com / @trafalgarconnected.com email account?
At this stage, nothing will happen to your Google accounts, and you may continue to use them as you have been. To provide some clarify, the Easter Half Term work, is phase 1 of our Shift to the Cloud journey. The shift from Google Workspace to Microsoft 365 will happen in the Summer Holidays. So you can continue to use your Google accounts for now. What this means for you now: Google accounts and products (Gmail, Google Drive, Google Calendar, etc.) will remain unchanged for the time being. You can continue using them as you normally do. The new domain for email addresses will be implemented as part of this first phase, but you can still use your Google Workspace account for Google Classroom, emails, calendars, and other Google tools during this phase. No requirement to switch to Microsoft products yet. The full transition to Microsoft 365 will take place during the Summer Holidays. In the lead up to this, we will provide guidance.

Can I continue to use Google products such as Google Classroom / Docs / Sheets / Drive etc?
Yes, absolutely! There is no immediate change to your use of Google products such as Google Docs, Sheets, Drive, Gmail, and Google Calendar. The first phase of our transition is focused on the email migration to a new domain, and this does not affect your Google account or any Google services you currently use. Here's a quick breakdown of what to expect: What does this mean for you right now? Google Workspace products (like Docs, Sheets, Classroom, Drive, Gmail, etc.) will stay exactly the same. You can keep using them just as you always have. What will change later? In Summer 2025, we’ll fully switch to Microsoft 365 (Outlook, Word, Excel, Teams, etc.). But that will be a separate transition, and we’ll provide detailed instructions and plenty of time to get ready.

Will I need to reset my Multi Factor Authentication (MFA) ?
Yes, definitely! On the first day back after the Easter Holidays (22nd April), we will provide you with your new login details and a guide on how to setup your multi factor authentication. This doesn't need to be setup on the first day back to login in school (It is required to access email/OneDrive etc outside of school) Why Set Up MFA? Setting up Multi-Factor Authentication (MFA) on your new email account adds an extra layer of security, making it harder for unauthorised users to access your account even if they have your password. It helps protect sensitive information, reduces the risk of phishing attacks, and ensures your data stays secure. You can choose to use either the Microsoft Authenticator app or the Google Authenticator app for the setup. I am planning to work during Easter - What do I need to consider?
Working during Easter? You must use Google Products / Chromebooks / Gmail etc If you are intending to work throughout the Easter Half Term, please bare in mind that their is will be no access to Outlook Email / Remote / or the Network. Workaround: The proposed workaround consists of using only your @alnsconncted.com or @trafalgarconnected.com Google account. If you work is in OneDrive or on shared server drives like Departments, Public etc you will need to copy to your Google Drive by end of the term This means work must be completed using Google Docs/Sheets/Slides/Classroom (Or copy documents you need to Google Drive and then save back on the first day back) There will be no access to Word/PowerPoint/Excel/Outlook etc You must only use a Chromebook (as this is Google based) Classroom PC/s & Laptops will not work. When do I need to hand in my Windows laptop or Surface?
When do I need to hand in my Windows laptop or Surface? If you have a school Windows laptop from the school (Chromebooks not included) It's extremely important that you hand it back to IT before Easter Half Term. Failure to do so, will result in the device being UNUSABLE on the network after Easter!!
